Maverick Spend Leakage Calculator

Every site buys a little off-contract, and each purchase is too small to notice. This calculator adds them up by category, per site and across all your sites, and shows how much enforced compliance would recover.

24 restaurants · $1.8M a year

That works out to $1,441 per site every week. A policy document won’t stop it. Restricting each site to contracted catalogs will.

Bollard limits each site to contracted items and prices, sends off-catalog requests for approval before any money is spent, and reports compliance by site and category, so the $1,503,230 recoverable figure is something you can track.

Method

How the estimate is built

Total addressable spend is sites × spend per site, split across your categories by their share. For each category, the part not bought on contract is the off-contract spend.

Price leakage is off-contract spend multiplied by the contract discount that was missed. Process leakage is the extra cost of handling those orders: no catalog, manual GL coding and invoices that fail matching.

The three-year outlook grows spend at your chosen rate. With no change, compliance drifts down by the drift rate each year; with enforcement, every category is held at your target compliance or its current rate, whichever is higher.

From one site to every site

Leakage is spread across hundreds of small purchases at many sites. Fixing it means controlling those purchases at every site.

Bollard gives every site a catalog of contracted items at contracted prices. Anything off-catalog needs approval before it is ordered, and compliance is tracked by site, category and buyer.

Questions

Frequently asked

What is maverick spend?+

Maverick spend (also called off-contract or rogue spend) is any purchase made outside the suppliers, catalogs and prices your organisation has negotiated. Common examples are a kitchen manager buying from a cash-and-carry or a site lead ordering PPE on a personal card. Each purchase pays more than the contract price and usually needs extra work to code and reconcile.

How is maverick spend leakage calculated?+

For each category, off-contract spend is addressable spend multiplied by the share not bought on contract. Price leakage is that off-contract spend multiplied by the contract discount it missed. If you include process cost, the number of off-contract orders (off-contract spend divided by average order size) is multiplied by the extra handling cost of each one.

What is a typical contract compliance rate?+

It varies widely by category and by how buying is controlled. Core, centrally sourced categories such as food or pharmacy often run at 80 to 90 percent on contract, while facilities, repairs and tools are often much lower because sites buy them ad hoc. The starting values here are illustrative. Use your own spend data where you can.

Why does the number of sites matter so much?+

Every site makes its own small off-contract purchases, and each one is too small to notice. Across dozens or hundreds of sites they add up to a large annual figure that rarely appears as a single line in the accounts.

What does “recoverable” mean?+

It is the leakage that disappears when each category reaches your target compliance rate, for example 95 percent through contracted catalogs and approval rules. Categories already above the target contribute nothing extra.

Is my data sent anywhere?+

Not unless you choose to. The calculation runs entirely in your browser, the share link stores your inputs in the URL itself, and the PDF brief is generated on your device. The only thing that sends anything is the optional "Email me this brief" form, which emails the headline figures to you and to the Bollard team.
